When you upload your Aadhaar, PAN, or Bank account details on the EPFO member portal, the status often changes to "Pending for Employer Approval." Many employees wait weeks or months, assuming the EPFO is processing it.
In reality, the EPFO is waiting for your employer. Until your employer's HR or finance team logs into their specific portal and digitally signs your request, your KYC will remain pending forever. There is no automatic timeout or escalation built into the system.
Here is how to fix pending EPF KYC based on your current employment situation.
The KYC Approval Workflow
Understanding how the system works helps you know exactly who to chase for approval:
| Step | Who Does It | What Happens | Status You See |
|---|---|---|---|
| 1 | You | Upload KYC document on the Member Portal | Pending for Employer Approval |
| 2 | Your Employer | Reviews and approves using their Digital Signature Certificate (DSC) or e-Sign | Approved by Employer |
| 3 | EPFO System | Sends bank details to your bank for penny-drop verification. PAN is verified with the Income Tax database. Aadhaar is verified with UIDAI. | Verified (Green Tick) |
IMPORTANT
All three KYC items must be verified (green tick) before you can file any online claim. Even if your Aadhaar and PAN are verified, a pending bank KYC will block your withdrawal request.
Scenario 1: You Are Working for the Same Employer
If you are currently employed at the company associated with the pending KYC, this is the easiest fix:
- Do not wait for it to happen automatically. Send an email or Slack message to your HR or payroll department immediately.
- Provide them with your UAN and specify which KYC document (PAN, Bank, or all) needs their DSC approval on the EPFO Employer Portal.
- If your company has an outsourced payroll vendor (like ADP, Greythr, or Darwinbox), contact both your HR and the vendor's support team.
- Once they approve it, the status will change within minutes. Bank verification may take an additional 2-3 working days for the penny-drop check to complete and show the green "Verified" tick.
Sample email to send your HR:
Subject: EPF KYC Approval Required - UAN: XXXXXXXXXXXX
Hi [HR Name],
I have uploaded my [PAN/Bank Account] details on the EPFO member portal. The status currently shows "Pending for Employer Approval." Could you please approve this on the EPFO Employer Portal at your earliest convenience? My UAN is XXXXXXXXXXXX.
Thank you.
Scenario 2: You Left the Company, but It Is Still Active
If you left your previous job but the company is still in business:
- The KYC request automatically goes to the employer linked to your latest employment in the EPFO system. If you joined a new company and they have started contributing to your PF, the new employer handles KYC approvals.
- If you are unemployed and the KYC request is stuck with your former employer, you must contact the HR department of your former employer directly.
- Write a polite email requesting them to approve your pending KYC so you can transfer or withdraw your PF.
If they ignore you or refuse:
- Wait at least 7-10 days after your email. Then raise a formal grievance on the EPFiGMS portal.
- Under the grievance category, select "PF Office" and mention that your previous employer (provide their establishment code, which you can find on your payslip or passbook) is not approving your KYC.
- The EPFO regional office will issue a formal notice to the employer compelling them to act within a specified timeframe.
- If the employer still does not respond, the EPFO field officer can approve the KYC from the backend in exceptional cases.
TIP
Always get your KYC approved and your PF transferred before or immediately after leaving a company, while you still have a good working relationship with the HR department and retain access to company communication channels. Chasing former employers months later is much harder.
Scenario 3: The Company Has Completely Shut Down
This is the hardest scenario. If the company is legally closed, bankrupt, or the owners are untraceable, no one has the active Digital Signature required to approve your online KYC.
You cannot resolve this online. You must follow the physical process:
- Take a printout of the KYC document (PAN card copy, Bank passbook front page with your name, account number, and IFSC clearly visible).
- Get it attested by one of the following authorized persons:
- Manager of the bank where you hold the PF-linked account
- Gazetted Officer (Class I or Class II)
- Magistrate or Sub-Registrar
- Post Master or Sub Post Master
- President of Village Panchayat or Village Head
- Write an application addressed to the Assistant Provident Fund Commissioner at your regional EPFO office, explaining that the establishment is closed.
- Attach the following:
- Attested KYC documents
- A copy of your UAN member passbook (download from the EPFO portal)
- Any evidence that the company is closed (company website down, MCA status showing "struck off", news articles)
- Submit the application and documents physically at the EPFO office.
- The EPFO field officer has the authority to approve the KYC from the backend without employer intervention in closed-establishment cases. Processing typically takes 15-30 days.
Special Case: Bank Account Verification Failure
Sometimes an employer approves the bank KYC, but the status changes to "Rejected by Bank" or "Verification Failed" instead of getting the green tick.
This happens if:
- The name on your UAN does not match the name on your bank account exactly (even "Raj Kumar" vs "Rajkumar" will fail)
- The IFSC code is invalid or outdated (very common after bank mergers like Syndicate Bank merging with Canara Bank, or Lakshmi Vilas Bank merging with DBS Bank)
- The bank account has been closed, frozen, or converted to a different account type
- The bank's CBS (Core Banking System) was down when EPFO sent the penny-drop verification
How to fix:
- Delete the rejected bank KYC entry on the member portal.
- Add the bank account again with the correct and current IFSC code. You can verify your IFSC on the RBI website.
- Ensure your name in the bank account matches your UAN name character-for-character. If it does not, correct either the bank name (by visiting the branch) or the EPFO name (via Joint Declaration Form).
- Submit the fresh bank KYC. Your employer must approve it again.
Special Case: Aadhaar Auto-Verification
Unlike PAN and Bank details, Aadhaar KYC often does not require employer approval if your demographic details match perfectly.
If you enter your Aadhaar number and your Name, Gender, and Date of Birth in the EPFO database match exactly with UIDAI's database, the Aadhaar gets verified automatically by the system within a few hours. No employer action is needed.
If Aadhaar KYC shows pending despite you uploading it:
- There is likely a mismatch in your name or DOB between EPFO and Aadhaar records
- You must first correct your basic details in EPFO using a Joint Declaration Form (signed by your employer) or correct them on your Aadhaar via the myAadhaar portal
Common Mistakes
- Uploading a blurry or cropped scan: Employers often reject KYC documents that are not clearly legible. Upload a clean, high-resolution scan.
- Using a bank account that is not in your name: Joint accounts where you are the secondary holder will fail verification.
- Not checking the UAN name before uploading: If your UAN says "RAJESH K" but your PAN says "Rajesh Kumar", the PAN KYC will be rejected during system verification even after employer approval.
