How to Update Date of Birth in EPF KYC

Correct your date of birth in EPF/UAN KYC when it does not match Aadhaar or PAN. Covers online and offline methods, employer approval, and what to do when...

A wrong date of birth in your EPF (Employee Provident Fund) records can block KYC approval, PF transfers between old and new employers, and withdrawal claims. This mismatch usually happens because:

  • Your employer entered the wrong DOB at the time of joining
  • Your Aadhaar or PAN has a different DOB than what was submitted to EPFO
  • A data entry error during UAN activation

Whatever the reason, fixing it is straightforward if the difference is 3 years or less. For larger differences, a physical process is required.

Before You Start

Step 1: Log in to the member portal

Visit the EPFO Member Portal and log in using your UAN and password.

If you have forgotten your password, use the "Forgot Password" option. You will need either your Aadhaar-linked mobile number or your registered email to reset it. See our UAN activation guide if you have not set up your login.

Step 2: Open KYC / profile update

After logging in:

  1. Go to Manage in the top menu bar.
  2. Select Modify Basic Details or the equivalent profile update section.
  3. You will see your current name, DOB, and gender as recorded in EPFO.
  4. Click Edit or Request for Change next to the Date of Birth field.
  5. Enter the correct date of birth exactly as it appears on your Aadhaar or PAN card.
  6. Upload a clear, scanned copy of the supporting document (Aadhaar is preferred because EPFO can cross-verify digitally).

TIP

Before submitting, double-check that the DOB on your Aadhaar matches what you are entering. If Aadhaar itself has the wrong DOB, fix it on the UIDAI portal first (see our Aadhaar update guide for the general process). Submitting a DOB that does not match your Aadhaar will cause the correction to fail.

Step 3: Wait for employer approval

After you submit the request:

  1. Your employer's EPF administrator receives a notification to approve or reject the change.
  2. The admin reviews your uploaded document and either approves or sends it back.
  3. Follow up with your HR department if the request sits pending for more than a week. Many HR teams have a backlog and may not check the portal daily.
  4. After employer approval, the request goes to the EPFO field office for final processing.

Processing time after employer approval: 20 to 30 days for the EPFO field office to update the records.

Step 4: Confirm the update

Once processed:

  1. Log back into the member portal and check that your DOB now shows the corrected value.
  2. Go to Manage > KYC and verify that your Aadhaar and PAN KYC status shows Verified (green tick).
  3. If KYC still shows pending after the DOB correction, you may need to re-submit your Aadhaar or PAN for digital verification. See our EPF KYC pending fix guide for troubleshooting.

When the Age Difference Exceeds 3 Years

WARNING

Age Difference > 3 Years: If the difference between your wrong DOB in EPFO and your correct DOB is more than 3 years, you cannot do this online. You must follow the physical process below.

Physical correction process:

  1. Download the Joint Declaration Form from the EPFO website or get it from your HR department. This form must be signed by both you and your employer.
  2. Collect two independent DOB proofs. For example:
    • Aadhaar card + birth certificate
    • Passport + school leaving certificate
    • PAN card + 10th mark sheet
  3. Get an explanation letter from your employer stating why the original DOB was entered incorrectly.
  4. Submit everything to your EPFO regional office (the one that manages your establishment). You can find your regional office on the EPFO website.
  5. Processing time: 30 to 60 days after submission.

Frequently asked questions

Who approves DOB changes?
Your employer typically digitally approves the KYC change after you submit it on the member portal. After employer approval, the EPFO field office processes it.
What proof is accepted?
Aadhaar, PAN, passport, or other EPFO-listed proofs. The DOB must match the document you upload.
How long does the DOB correction take?
After your employer approves, the EPFO field office typically processes the change within 20 to 30 days. If submitted physically, it can take 30 to 60 days.
Can I correct DOB if I have already left the company?
You need to contact your last employer's HR department since they must digitally approve the KYC change. If the company has shut down, you must visit the EPFO regional office with your documents.
Will a wrong DOB block my PF withdrawal?
Yes. If the DOB in EPFO does not match your Aadhaar or PAN, KYC verification fails. Without approved KYC, you cannot file online PF withdrawal claims.
