Step-by-step guide to finding and activating your Universal Account Number (UAN) to access your EPF passbook, check balance, and make withdrawals.

Your Universal Account Number (UAN) is the master key to your retirement savings. Provided by the Employees' Provident Fund Organisation (EPFO), this 12-digit number stays the same throughout your career, consolidating the PF accounts from all your different employers into one place.

Before you can check your PF balance, update your KYC, transfer funds from an old job, or make a withdrawal, you must activate your UAN on the EPFO portal. The process takes less than 5 minutes.

Prerequisites for Activation

To activate your UAN successfully, you must meet these conditions:

  • Aadhaar is mandatory: Your UAN must be seeded with your Aadhaar number by your employer.
  • Matching details: Your Name, Date of Birth, and Gender in the EPFO database must exactly match your Aadhaar card.
  • Active mobile number: Your mobile number must be linked to your Aadhaar card to receive the UIDAI verification OTP.

WARNING

If your mobile number is not linked to your Aadhaar card, the activation will fail at the OTP stage. You cannot bypass this. You must visit an Aadhaar Seva Kendra to update your mobile number first.

Phase 1: How to Find Your UAN

If you do not know your UAN, you do not need to ask your HR department. You can find it yourself using your Aadhaar:

  1. Go to the EPF Member e-Sewa portal.
  2. Scroll down to the "Important Links" section on the right side and click on Know your UAN.
  3. Enter your Aadhaar-linked mobile number, fill the CAPTCHA, and click Request OTP.
  4. Enter the OTP received on your phone.
  5. On the next screen, provide your Name, Date of Birth, and Aadhaar number exactly as they appear on your ID.
  6. Click Show my UAN.
  7. The system will display your 12-digit UAN on the screen and also send it to your phone via SMS. Write this number down.

Phase 2: Activating the UAN

Now that you have the 12-digit number, you can activate it.

  1. Go back to the Member e-Sewa portal homepage.
  2. Under the "Important Links" section, click on Activate UAN.
  3. A form will appear. Enter your UAN, Aadhaar number, Name, Date of Birth, and Mobile Number.
  4. Enter the CAPTCHA code.
  5. Check the small consent box at the bottom agreeing to Aadhaar-based authentication.
  6. Click on Get Authorization Pin.
  7. The EPFO will ping the UIDAI servers and send a One Time Password (OTP) to your Aadhaar-linked mobile number.
  8. Review your details on the screen to ensure they are correct. Enter the OTP and click Validate OTP and Activate UAN.

Your UAN is now active. The system will generate a default, alphanumeric password and send it to your mobile number via SMS.

Phase 3: Your First Login and Passbook Access

  1. Return to the homepage login box.
  2. Enter your UAN and the default password received via SMS.
  3. Upon your very first login, the system will force you to change your password for security reasons. Create a strong password (minimum 8 characters, with at least one uppercase letter, one lowercase letter, one number, and one special character like @, #, $).
  4. Save this password securely. It is your permanent login credential for your retirement funds.

IMPORTANT

The 6-Hour Rule: The EPFO maintains two separate portals - one for managing your account (Member e-Sewa) and one for viewing your balance (Passbook portal). It takes approximately 6 hours for a newly activated UAN to sync to the Passbook servers. If you try to check your balance immediately after activation, you will get a frustrating "Invalid UAN or Password" error. Wait 6 hours, then visit the EPFO Passbook Portal to see your money.

Common Mistakes

  • Waiting for the employer to activate it: Employers cannot activate your UAN. Only the employee can activate it because it requires your personal Aadhaar OTP.
  • Letting a new employer create a second UAN: When you change jobs, give your new HR department your existing UAN. If you let them create a new one, your old PF funds will be stranded in the old account, and merging two UANs is a tedious, months-long offline process.
  • Using a temporary phone number: Your UAN password resets and claim OTPs will all go to this number. Ensure it is your permanent personal number, not a company-provided SIM card that you will have to surrender when you quit.

Troubleshooting

The portal says "Details do not match" during activation: This is the most common error. It means your employer made a typo when entering your name, DOB, or Aadhaar number into the PF portal. Since the portal verifies against the Aadhaar database, a mismatch blocks activation. You must submit a physical Joint Declaration Form, signed and stamped by your employer, to your regional EPFO office to correct the typo.

I am not receiving the Aadhaar OTP: Check if your phone has a strong network signal and if DND (Do Not Disturb) is blocking government shortcodes. If you still don't receive it, the UIDAI servers might be down. Try again early in the morning.

The portal says "Aadhaar is not seeded against UAN": Your employer generated your PF account without linking your Aadhaar. You cannot activate your UAN online. You must ask your employer's HR or payroll department to seed your Aadhaar using their Employer Portal DSC (Digital Signature Certificate) first.

Frequently asked questions

What is a UAN?
UAN stands for Universal Account Number. It is a unique 12-digit number provided by the EPFO that stays with you throughout your entire career. Every time you change jobs, your new employer's PF member ID is linked under this single UAN umbrella.
Can I check my PF balance immediately after activating my UAN?
No. The EPFO servers take about 6 hours to sync newly activated UANs. You will be able to log in to the member portal immediately, but the separate Passbook portal (where you actually see your balance) will throw an 'Invalid UAN' error until the 6-hour sync is complete.
My UAN activation failed due to a name mismatch. What should I do?
This means the name your employer entered into the PF system does not match the name on your Aadhaar card. You must submit a physical 'Joint Declaration Form' signed by your employer to the regional EPFO office to get your name corrected in the database before you can activate the UAN.
I forgot my UAN password and my phone number changed. How do I log in?
Go to the login screen and click 'Forgot Password'. Enter your UAN. When it asks to send an OTP to your old number, click 'No'. You can then verify your identity using your Aadhaar number and enter a new mobile number to receive the reset OTP.
Do I need to activate a new UAN when I join a new company?
No. You should only ever have one UAN in your lifetime. When joining a new company, give them your existing UAN. They will create a new PF Member ID and link it to your existing UAN. Do not let them create a second UAN for you.
